Giving someone access to your webform

When you create a webform in the Content Management System (CMS) you will be able to assign users to administer the webform alongside you. By doing so, they too will be able to edit the contents of the webform with the same access as you.

Follow the below steps to give someone else access to your webform:

Step 1: open the webform you will be giving another user access to

Begin by opening your webform in the CMS. You can navigate to the page your webform is in and find the form there. Alternatively, all forms in the CMS can be found in Structure > Webforms > Forms

Step 2: navigate to the Access tab

With your webform opened, click on Settings > Access

Step 3: add in the user required to access the webform

Scroll down to the relevant accordion depending on the access the user requires.

Please assign webform access to individual users, where possible. The recommended options are:

  • View any submissions for read-only permissions to submissions.
  • View any submissions plus Update any submissions for managing submissions but not editing the webform itself.
  • Administer webform & submissions for both submissions and form editing.

Type in the user's email address on the Users field. The field will load up any users who match that email address. Select the user as they show up as a matching result.

If there are other users who require access to the webform, type in a comma ',' on the User field straight after the ')' symbol, then type in the additional user’s email address. Select the user as they show up as a result as before.

Step 4: save the webform

Once all the required users have been added on the webform, save your changes by clicking on the Save button on the bottom of the page.

 

Make further note of the following

  • The added user will also need the 'Sensitive Data access' role added to their user record before they can access the webform and its submissions. This can be requested through the CMS Access to nsw.gov.au platforms form.
  • To create webforms, refer to Creating a webform.
  • All webforms must now use a Privacy Collection Notice
    To ensure all webforms on nsw.gov.au are in compliance with the Information Protection Principles (IPP) for agencies of NSW, it is now a requirement for all webforms to have a Privacy Collection Notice. Webforms without a Privacy Collection Notice now cannot be created. See Using a Privacy Collection Notice for your form to do this.
