Publishing workflows in the Content Management System (CMS) determine the steps your content goes through before it is published and showing live on nsw.gov.au. They differ for every agency. Use the below information as a guideline for what to do on Landing pages and Standard pages.
Getting your draft Landing/Standard page approved for publishing
When your Draft Landing page is built and you are ready to seek sign off for the page, you need to change the status of your Page.
Your new page should appear in Pre Published draft state.
- Select Pre Publish Draft menu
- Click on the Request Approval button
This will change the status of the page from Pre-Published draft to Needs approval - Once your page is at Needs approval state, select the Needs approval menu
- Click on the Preview link button
This will generate a preview link that you can share with your stakeholder/s, peer/s, manager for their review and sign off.
If they provide any changes for you to make, you can click on Need approval > Layout to go back in and make your edits.
Note: Once you click Save Layout, the person with the Preview link will be able to view the latest version of the page. - Once the page has been approved and signed off, select Needs approval menu
- Click the Approved button (if you have Approver user rights in the system)
- Depending on your own Agency’s publishing workflow, you would then either Publish the page if you have the user rights in the platform, or send the preview link on to your Publisher to publish the page on your behalf.
Create and use Preview links with your internal team
You can use the Preview link feature to generate a link that is shareable with your internal team, whether it be the original draft or recently updated content.
- Select the Draft or Pre-published draft button
- Select Preview link
- This will take you to the /generate-preview-link, providing you with an individual preview link that has a lifetime of 2 weeks. You can also regenerate link or reset lifetime on this page.
- To share with your colleagues, copy link and paste into platform you will use to send internally.
- Your team will then be able to access your draft version and provide feedback.
Sending for review
Some content like Have Your Say Consultations and Grants will need to be sent to the NSW Government Digital Channels team for review following the below steps:
- Select the red Draft or Pre-published draft button on the top-right of your page
- Select the blue Needs review button
- Once you have selected the Needs review button, you will be taken to your page and the status will be updated to Needs review.
- Once you have selected Needs review a ticket is automatically generated and sent to the NSW Government Digital Channels Content team to review the page.
- Once reviewed and the necessary edits have been made, you will be notified by a member of the Content Team that your page is ready for publishing.
Editing a Live Published Landing/Standard page
When editing a page that is already live on nsw.gov.au, follow the below steps to seek sign off for your changes
- Navigate to that page either by the search bar on the home page of the website or using the Manage > Content content library to find your page to edit
- Select the Live – Published menu in the top right hand corner
- Click the Layout button to make your edits
- Hover over the pencil icon for the block of content you need to update. Select Configure
- Make the changes and click Update to update the block of content
- Scroll to the top of the page and click Save Layout. This will now change the status of the page to Editing in Progress. The customer will still see that last Live Published version of the website while you work on the new version.
- Select Editing in Progress menu > Request Approval
Now you will follow the publishing workflow for your agency to seek signoff and have the update re-published.
Note: your changes will not be seen by the end user/customer until the page has been Published.
