The CMS media library is a central location that stores all media files, including images, remote videos and PDF's, which are used on the nsw.gov.au website.

Before you start

If you're uploading a document file make sure it's accessible and correctly named. See the guide to Making documents SEO friendly before uploading. For instructions about naming and uploading image files, see the guide Uploading an image to the CMS.

Try to keep your file size as small as possible, as this will allow it to load more quickly on web pages.

File names

  • Use a descriptive, succinct, human-readable file name.
  • Use lower case letters and separate words with a '-' (hyphen). For example, 'how-to-upload-media-files.pdf'
  • Avoid special characters or spaces.
  • Add your agency or department name to the file name to prevent any duplication issues.
  • Your title and alt tag (if required) can be the same.

How to upload your file

  • Select Manage > Content > Media, then click on the +Add media button.

  • Select your file type from the list of options.

The add media item window showing various file types available for upload to media library.

In the Add File screen:

  • Enter in a Title or name for your file (this name helps you find it later when you need to add it to your web page or search the media library).
  • Click the Choose file button and upload your file to the CMS. Try to keep your file size as small as possible, as this will allow it to load more quickly on web pages.
  • Add the Alt description of the file, if required.
  • Select the appropriate Agency and Editorial groups.

4. Click Save. You can now add your file to your web page.
