Background
NSW Government Agencies must comply with the Information Protection Principles (IPPs), which are outlined in the Privacy and Personal Information Protection Act 1998 (PPIP Act). These regulate the collection, storage, use and disclosure of personal information held by NSW Government Agencies.
Terms and Conditions
Users must agree to:
- operate and comply with the permissions and agency groups for which they have been trained and assigned.
- protect passwords, usernames, and logins at all times. If you share your security details or login passwords, your account will be deactivated immediately, and you may be subject to a Code of Conduct and Acceptable Use Policy investigation.
- protect information and not distribute, download, extract, or print data for unauthorised parties to use.
- store authorised downloads securely and destroy within 30 days.
- manage all personal information in accordance with the Privacy and Personal Information Protection Act 1998 and the Information Protection Principles.
What personal information do we collect?
You are providing NSW Government Digital Channels, part of Department of Customer Service (DCS), with your name and contact information, such as work email address, phone number, position title, and the details of the agency or office you are employed at.
How will we use and disclose this information?
Your information will only be used to:
- verify that you are an authorised user of nsw.gov.au systems
- process your request sent through Help Hub to resolve any issues you may encounter while working with nsw.gov.au systems.
Additionally. your information will be used to monitor activity in accordance with the terms and conditions and to maintain a record of when you accept them.
NSW Government Digital Channels also collects and uses the personal information provided to enable and support NSW Government staff when performing work and delivering services.
Your information will only be shared between NSW Government Digital Channels and your agency (upon receipt of an authorised request).
NSW Government Digital Channels will not disclose your personal information unless required by a centralised content team within your agency or authorised by law, such as by court order.
Storing your information
NSW Government Digital Channels will store your personal data in the nsw.gov.au Content Management System (CMS) and Help Hub until you have been deactivated from the network or have been inactive in the system for 90 or more days. Thereafter, your personal information will be retained and disposed of as required by the Privacy and Personal Information Protection Act 1998 and State Records Act 1998, unless there is a legal requirement to keep it.
Are you required by law to provide us with this information?
Providing your personal information is not required by law. However, if you choose not to provide your personal information, this will prevent your use and access of nsw.gov.au systems to perform your work, for example, submitting a support request through Help Hub.
