Defining Approver access

Content Approver access allows the user to approve content in a read-only view. This access is generally given to a Subject Matter Expert (SME) who will only ever approve content, never create or publish.

An example of this would be if an Editor needed to send the preview version of a webpage internally within their organisation for approval to an SME. Once the SME reviews the content, they can Approve the page which will allow a Publisher to publish the page.

This access can be applied both for Content Management System (CMS) users who will be using the system in an ongoing capacity, as well as temporary access for agencies migrating on to nsw.gov.au CMS.

It is important to note that this access does not provide access to edit or publish content on nsw.gov.au. It is recommended that Approvers who want to retain their access after the migration attend full editor training.

Content approval instructions

Below are the content approval steps, login steps and approval check list. 

Approval steps:

  1. Follow the login instructions below to access the nsw.gov.au website.
    • We have created a user login for you and assigned you the role of Content Approver.
    • Your access will allow you to review and navigate across a section of content.
    • You will not be able to edit page content.
    • You do not need to do anything in the CMS other than review the page.

Review the content, using the checklist below as a guide.

You may be required to update an approval log noting in the status column whether the page is approved or needs work.

If the page needs work:

  • minor changes - use the comments column in the Approval log
  • major changes - use a word document with marked up changes to advise the edits

Login steps:

  1. Log into the CMS via Okta SSO. Refer to Logging in to the nsw.gov.au CMS through Single Sign-On for more information.
  2. Once logged in, cut/paste the URL you are reviewing into your Internet browser, or navigate to the page via the Manage > Content library to search for your page title up for review
  3. Work through the checklist and note any required edits per the above Approval steps

Approval Checklist:

      • Page title is correct
      • Page description summary is correct (the description appears under the page title and will display in Google search results)
      • Page is in the right location in the section
      • Content has been read for accuracy and currency, including
        • Card labels and descriptions on landing page
        • Images and image captions
      • Hyperlinks to documents or external sites are correctly labelled and working (note: you must be logged in for this to work)
      • Linked documents (e.g. PDFs) are correct and working
      • Related information links (if any) are appropriate
      • Image use (if any) is relevant to the content and appropriate
